Terms of Service

Please read the MediClaim Terms of Service

MediClaim Membership Terms of Service Agreement

MediClaim is a medical billing application, and its services are confined to processing, transmitting and receiving patient claim data to provincial and regional health authorities on behalf of medical practitioners.

Mediclaim provides training and support by phone and email for practitioners (MediClaim Members) using the MediClaim application for a fixed monthly fee.
Members’ monthly payments may be made by Visa or MasterCard only. Payments begin the same month the Member starts billing with MediClaim, and fees are automatically processed at the end of each month. Credit card charges that are declined for two or more consecutive months will be subject to a $20.00 service charge for each declined payment. Chronic declined charges (more than four in each calendar year) will result in a monthly premium charged to the Member’s account.

MediClaim does not provide monthly invoices or statements. Year-end statements for tax purposes are available by request only.

The minimum term of payment for services for MediClaim Members is one year unless otherwise specified at the beginning of the agreement. Members who wish to terminate their service prior to one year after their registration date will be charged the balance owing for that year. We require 30 days written (email) notice for termination of a MediClaim Member’s account. Members who stop using the service without providing written notice will continue to be charged for their Membership and will not be refunded any charges to their credit card accounts for any months prior to giving written notice of termination.

MediClaim does not charge for registration, training and ongoing support by phone or email, unless a Member’s support requirements exceed that which is normally deemed to be sufficient. Additional charges may be applied if a Member requires support that exceeds average support requirements.

Additional charges may be applied for changes in the Member’s MSP billing profiles and payment numbers.

MediClaim is not responsible under any circumstances for claims submitted to MSP/WCB/ICBC that are refused or unpaid for any reason.

MediClaim support staff will assist in re-bill training and will help all Members to understand the claim refusal and re-bill process. MediClaim is not responsible for incorrect or incomplete claim data resulting in refused claims. Re-billing refused or incorrect claims is the responsibility of the Member.

MediClaim provides online statistical and financial reports for MediClaim Members. MediClaim relies on provincial and regional health authorities for data required to create these reports. For this reason, MediClaim does not assume responsibility for the accuracy of these reports. MediClaim staff are diligent in interpreting and processing the data provided by the health authorities to create reliable statistical and financial information for our Members.

It is in the Members’ best interest to submit their claims on a regular basis, ideally every few days. MediClaim endeavours to transmit claims to MSP on every business day of the week. However, due to circumstances MediClaim can’t control – power outages, MSP server maintenance and other reasons, MediClaim cannot guarantee a transmission to MSP on close-off days or any other specific day. (Please see the link to ‘MSP Cut-off Dates’ at www.mediclaim.ca for further information.)

MediClaim does not share practitioner or patient data with anyone except for provincial or regional health authorities. MediClaim data is stored securely, and our systems’ security meets or exceeds all provincial health authority requirements.
